How To Improve Workplace Productivity and Why It Matters

In a country where 40+ hours of work week is common and heavy traffic is rampant, employers should be more outcome-based instead of focusing on the hours that employees put into their work to measure performance.

 

Negative Effects of Long Work Hours

Long work hours plus working on a Saturday, combined with enduring heavy traffic has the following effects on employees:

  1. Under-performance
  2.  Less productivity due to sleep deprivation
  3. Overall fatigue
  4.  Poor work-life balance that may lead to depression

Long hours does not mean more work done. As the saying goes “it’s not the number of hours you put into work, it is the amount of work you put in those hours.”

 

What employers should do is keep their employees’ productivity at maximum. So what can you do as an employer to increase productivity in the workplace? Here are 4 tips you can follow:

  1. Improve Workplace Environment

There is nothing more irritating than starting work at 9am in an office that is too hot. This can lead to a bad start and may affect productivity all throughout the day. A work environment that’s too hot or too cold is equally distracting to employees. Ensure comfortable workplace temperature depending on the season. Also, be aware that open space offices have disadvantages. One of which is distraction, open offices are noisy and is not a conducive environment to do deep work. We recommend you to have a quiet room for employees who need to do strategic thinking, planning, writing, and meetings.

If you have artists in your company, you need to understand that creative people dread noisy workplace environments. It’s hard to produce “creative juices” on a noisy and distracting environment. You need to be deliberate in terms of providing the best workplace environment, consider the personality and the type of work of every employee in doing so.

 

  1.  Performance Recognition and Appreciation.

Performance recognition should be mandatory for every organization. But in reality, this is often overlooked – which can result in employee morale dropping. Employees should feel that they are being appreciated for their contributions to the company. Performance bonuses clearly show that you value their work and will motivate employees to keep performing at their best.

If budget constraints prevent salary increases or any monetary bonuses, it is best to give employees words of affirmation to communicate that they are being appreciated. They will work best if they are being rewarded accordingly.

Remember to treat your employees as people, not just cogs in a machine. Understanding that they need commendation from time to time and consistently providing words of encouragement will go a long way in motivating employees.

 

  1. Ensure Employees Are Happy

Making sure employees are happy is not entirely dependent on compensation and benefits. Company culture, opportunities for growth, and work-life balance all contribute towards feeling fulfilled in their career.

A stressful workplace with a toxic boss will not yield results. Forward-thinking companies are aware of this, and make sure their employees are happy. To make this happen, you can implement changes in your company culture like providing gaming rooms, free lunch, free gym memberships, and allowances for training. If that feels like a long-shot strategy, flexible working hours, unrestricted am/pm break time, and a light workplace environment may do the trick.

This will result in employees feeling that the company appreciates, respects, and values them. This will be highly gratifying on a personal level, thus, improving their workplace efficiency.

 

  1. Have The Right Tools and Equipment

Automation is better than delegation. If you can automate certain business process such as payroll processing, employees can focus on much more important tasks. There is nothing more counterproductive than manually doing tasks that can be automated, so why not provide employees with the right tools and equipment so they can perform their duties on time?

Businesses should utilize the exponential growth of technology to streamline their business processes. Using an automated payroll software, for example, will rid the HR department of the burden brought by manually processing payroll and salary disbursement.

Employees are the most important assets of every organization. They dictate business outputs and workplace efficiency more than business process and practices. Making sure that the productivity of every employee is kept at an optimum level will result in more work done in less time.

This is important as this will nurture every employee and prevent burnout that can be caused by working long hours and heavy traffic. Implementing HR strategies to boost workplace efficiency will result in better production, thus, leading to increased business growth and profitability.
